Accounts

The Accounts page lists everyone in your organization with their email, role, admin status, groups and the date they were added. Use Search users... to find someone by name, email, role or group. A no sign-in badge means the person has been added but has not signed in for the first time yet; a you badge marks your own row.

Adding a user

  1. Click Add User.
  2. Enter the person's Email. This is the address they sign in with.
  3. Choose a Role. Roles marked "(admin: can use this console)" give access to Picsha Admin.
  4. Select their Groups. Hold Ctrl (Windows) or Cmd (Mac) to select more than one.
  5. Under Social posting, tick any social media accounts they may post to from Picsha DAM.
  6. Optionally enter First Name, Last Name and Mobile Phone, then click Add User.

The person is added immediately and receives a welcome email with a single-use sign-in link that is valid for 7 days. The first time they sign in they are asked to choose a password. If the link expires, open the user and click Resend welcome email; each resend creates a new 7-day link. The Welcome email card on the user's page shows every email sent and its delivery status.

A person can belong to one organization only, so an email address that is already a member of another organization is refused.

Importing users from a file

To add many people at once, click Import CSV on the Accounts page.

  1. Prepare a CSV or Excel file with one row per person. Download template gives you a starter file. The columns are email (required), first name, last name, role, groups (several separated by ;) and mobile. Common variations of the headings are recognized.
  2. Choose the file. The console shows a preview marking each row New, Member (already in the organization) or Problem, with the reason: an invalid email address, an unknown role or group, a duplicate of another row, or an email that already belongs to a user in another organization.
  3. Choose whether to Send welcome emails to new users (on by default) and whether to Update existing members with the name, role and groups from the file.
  4. Click Import N users. A progress bar runs and a summary reports how many were created, updated, skipped and failed.

A file may hold up to 1,000 rows.

Editing and removing users

Click Edit on a user to change their role, groups, social posting accounts or name. A user's email can't be changed. Click Remove User, or tick several users and click Remove Selected, to remove people from the organization; they lose access immediately. You can't remove yourself or take away your own admin access.

Group membership is set on each user's page, not on the group.

Member profile

The Member profile card at the top of the page decides which profile fields members see under Settings → Account in Picsha DAM and Picsha Lab:

  • Hidden: no profile section. Members see only their sign-in identity and their membership.
  • Contact details: display name, mobile number, company, department, job title, timezone and language.
  • Contact details and addresses: the above plus billing and shipping addresses, for organizations whose members check out orders.

The display name is still used as the caption on a member's uploads whatever you choose.
