Metadata and keywords

The Details tab

The Details tab shows the asset's information, such as name, upload session, date taken, file type, status, rating, description, caption, title, event, keywords, copyright, upload date, who uploaded it (and their office), location, dimensions and file size. Videos and documents also show technical details such as resolution and duration. Documents show an AI-written Summary, and images show AI Faces (named people) and AI Objects (things detected in the image). Your organization's own fields appear below the standard ones. Some of them are read from the file itself, such as the camera model or the city a photo was taken in, and show that value without anyone typing it.

Which rows you see, and which you may change, depends on your role: for each field a role may see nothing, view, add, or change. A row you can only view is hidden while it is empty.

Editing metadata

  1. Click the pencil next to a field.
  2. Type the new value, or pick from the list for fields such as Asset Status. For Rating, click a star.
  3. Click Save.

If someone else changed the same field after you opened it, your save is refused so their change isn't overwritten. Reopen the asset and try again.
On a field where your role may only add, the row says Already there. What you type below is added to it. Keywords and multi-value lists gain values but lose none, text is extended, and a single value can be set only while the field is empty.
Some roles can change only assets uploaded by their own office or group. On assets from another office, you'll see a note that you can view, download, order and share the asset but not change it.
Required fields are marked by your organization and must be filled in at upload. They can't be cleared later.

Keywords and #tags

To add keywords, click the pencil on the Keywords row, type a keyword, and press Enter or a comma. Typing # shows tag suggestions and @ shows people and groups. Click Save; a keyword you are still typing is included.

  • A plain word becomes a #tag. A tag can contain spaces, for example "#New York".
  • Typing "#a #b" in one go adds two tags.
  • Tags marked System are your organization's shared tag list, managed by administrators.
  • New tags you create become your personal tags and appear in your own suggestions. To remove one from your suggestions, click its trash icon in the suggestion list; this doesn't remove it from any assets.

Naming people

Hover over an image in the viewer to see boxes around detected faces. Type a name, or pick a person with @, in the box under a face and press Enter. A face can have more than one name; click × to remove one. Named faces appear in the AI Faces row, make the person searchable, and feed the people categories in the sidebar.

Editing many assets at once

Select several assets and click Details. You can change Description, Title, Event, Copyright, Keywords, Rating, Asset Status and your organization's own fields for all of them.

  • Fields whose values differ across the selection show (differs) or Mixed.
  • When values differ, choose Save (Add) to add your text to each asset's existing value, or Overwrite to replace it.

Assets that are checked out by someone else, or that you aren't allowed to change, are skipped, and Picsha tells you how many were saved.
